Make sure your desk isn't in the traffic pattern. It should be in a room by itself if at all possible. Otherwise, in a corner or against a wall where people aren't constantly walking by, interrupting your train of thought, looking over your shoulder, borrowing pens, or knocking papers around.

Do your filing consistently. As each new piece of paper comes in to your office, look at it, decide what to do with it, and if you want to keep it in your files, file it away right then. Who has the time or energy to file stacks of accumulated paper once a week or once in a while? Besides, it's a lot easier to find something once it's been filed instead of going through that stack of papers over and over.

Designate a specific location for each tool. Pens, stapler, disks, paper, etc. Arrange all the things you use every day so that you can reach them from where you sit. Keep all extra supplies together, so you can see at a glance where they are and if something is running out.

Use hidden space - behind the door (hanging storage units, clear plastic shoe bags), under the desk, between the filing cabinet and the wall, over the windows and doors, install  hanging shelves on one or more walls.


Answer Email as you read it. Keep your inbox clear. Make folders for mail you want to save. Delete junk mail as it comes in. Don't forward chain letters. Use your  filters to avoid spam.  Read the article.

Identify and eliminate time wasters.  Don't allow interruptions. Focus on the job at hand. Make yourself off-limits for a period of time each day. Set specific times to check for email and voice mail. Keep an interruption  log for one week to pinpoint the major problems. Set a time limit for the project you're working on, and don't let anything distract you until the time is up.

Be Prepared to Save Time. Here are a few suggestions for things you can do ahead of time, or even have someone else arrange for you. When things get busy, you'll be ready for anything!
